We are seeking an experienced and highly organized Office Manager to join our team.
As the Office Manager, you will be responsible for overseeing the daily operations of our office and ensuring its smooth functioning.
This is a key role that requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
In this role you will have direct access to senior leadership within the company and will be a key part of maintaining office morale and culture.
Duties:
- Support HR functions such as onboarding new hires - Develop and implement training programs for new employees - Assist with the development of company marketing materials including social media management and submissions for company awards - Assist with requests for certificates of insurances (COI), OCIP/CCIP enrollment, and insurance claim management - Manage and maintain office supplies, equipment, and inventory - Coordinate and schedule meetings, appointments, and travel arrangements - Handle incoming calls and emails, providing professional and courteous assistance - Maintain office filing systems and ensure proper documentation - Assist in budgeting and expense tracking - Oversee office maintenance and repairs
Experience:
- Strong preference for bilingual employee (English & Spanish) - Proven experience in office management or administrative roles - Strong organizational skills with the ability to prioritize tasks effectively - Proficiency in social media - Excellent calendar management skills - Knowledge of office procedures and administrative best practices - Experience in team management and supervision - Ability to handle confidential information with discretion - Proficient in MS Office Suite (Word, Excel, PowerPoint) As an Office Manager, you will play a crucial role in ensuring the smooth operation of our office.
